Procurement Policy

Our commitment

The Grange Estate is committed to making responsible purchasing decisions that support our environmental, social and ethical values.

We recognise that the products and services we buy can have an impact beyond the Estate, including on carbon emissions, natural resources, biodiversity, animal welfare, working conditions and local communities. We therefore aim to consider these wider impacts alongside quality, suitability, availability and cost when selecting suppliers, products and services.

This policy applies across the Estate’s hospitality, events, accommodation, vineyard, winery, office, maintenance and land-management activities.

our purchasing principles

Where practical and appropriate, we will:

Support Local and Responsible Suppliers

  • Prioritise local and regional suppliers to support the local economy and reduce unnecessary transport.
  • Build long-term relationships with smaller suppliers and discuss their environmental and ethical practices as part of that relationship.
  • Consider a supplier’s environmental commitments, employment practices and approach to sustainability when appointing or reviewing them.
  • Where suppliers are unable to provide formal sustainability policies, seek evidence of responsible practices through conversation, product information or recognised certification.

Reduce Environmental Impact

  • Purchase only what is needed and avoid unnecessary consumption.
  • Choose durable, reusable, repairable and long-lasting products in preference to disposable alternatives.
  • Consider whether existing items can be repaired, repurposed, shared or purchased second-hand before buying new.
  • Prefer products made from recycled, upcycled, renewable, responsibly sourced or lower-impact materials.
  • Reduce single-use plastics and unnecessary packaging, and favour products supplied in recyclable, reusable, refillable or minimal packaging.
  • Consider the full lifecycle of a product, including its manufacture, transport, use, maintenance and eventual disposal.
  • Consolidate orders where practical to reduce deliveries and transport emissions.

Protect Nature & Biodiversity

  • Avoid products or services that are likely to contribute to habitat destruction, deforestation, pollution or the unsustainable use of natural resources.
  • Prefer responsibly sourced timber and paper products, including those carrying recognised certification such as FSC or PEFC.
  • Choose cleaning, gardening and maintenance products that minimise harm to wildlife, soils and watercourses.
  • Avoid peat-based horticultural products wherever suitable peat-free alternatives are available.
  • Give preference to native, locally appropriate and wildlife-friendly plants where suitable.
  • Consider the impact of chemicals, pesticides, fertilisers and other substances before purchasing and seek lower-impact alternatives where possible.

Promote Animal Welfare & Ethical Trade

  • Consider animal welfare when purchasing food, drink and products derived from animals.
  • Give preference, where practical, to products that meet recognised animal welfare standards.
  • Avoid products associated with unnecessary animal cruelty or the unsustainable exploitation of wildlife.
  • Seek responsibly sourced food and drink, including seasonal, local, organic, Fairtrade or certified products where appropriate and available.
  • Consider whether products and services have been produced under fair and safe working conditions.
  • Avoid suppliers where there is credible evidence of forced labour, modern slavery, exploitation, discrimination or unsafe employment practices.

Purchase Efficient Products & Services

  • Consider energy and water efficiency when purchasing appliances, equipment, lighting and fittings.
  • Prefer products that can be maintained locally and for which replacement parts are readily available.
  • Consider low-emission, electric or fuel-efficient options when purchasing or replacing vehicles, machinery and equipment, where operationally suitable.
  • Take account of running costs and environmental performance, rather than considering the initial purchase price alone.

Align Financial Decisions with our Values

  • Avoid knowingly supporting organisations whose activities are seriously inconsistent with the Estate’s environmental and ethical commitments.
  • Review significant financial and professional-service relationships periodically as part of our wider sustainability approach.

Supplier Selection & Review

For significant purchases, contracts or new supplier appointments, we will consider relevant factors such as:

  • The supplier’s location.
  • Environmental or sustainability policies.
  • Carbon, energy, water and waste reduction practices.
  • Packaging and delivery arrangements.
  • Responsible sourcing and recognised certifications.
  • Animal welfare standards.
  • Employment practices and commitment to equality and fair treatment.
  • Product durability, repairability and end-of-life disposal.
  • The supplier’s willingness to improve or work collaboratively with us.

The level of assessment will be proportionate to the size, value and potential impact of the purchase. Smaller and local suppliers may be assessed through direct conversations and ongoing relationships rather than through formal questionnaires.

Price will remain an important consideration, but the lowest-priced option will not automatically be selected where another product or supplier offers meaningfully better environmental, social or ethical value.

Implementation

Everyone involved in purchasing on behalf of the Estate is expected to apply this policy within their area of responsibility.

We will:

  • Communicate this policy to relevant employees and regular suppliers.
  • Encourage staff to raise responsible purchasing considerations before orders are placed.
  • Keep appropriate records for significant supplier and purchasing decisions.
  • Review existing suppliers and contracts when they are renewed.
  • Identify opportunities to reduce consumption and replace higher-impact products.
  • Work constructively with suppliers to encourage continual improvement.

We recognise that the most sustainable option may not always be available, affordable or operationally suitable. Where we cannot select the preferred option, we will make a balanced and proportionate decision and seek opportunities to improve in the future.

Monitoring & Review

This policy will be reviewed annually, or sooner if there are significant changes to our activities, suppliers or sustainability objectives.

As part of the review, we will consider:

  • Progress in purchasing more goods and services locally.
  • Reductions in single-use products and unnecessary packaging.
  • Increased use of reusable, recycled, certified or responsibly sourced products.
  • Supplier engagement on environmental and ethical issues.
  • Opportunities to improve purchasing practices during the following year.
